Proof Delay


The Proof Delay feature allows you to "hold" orders for 1-28 days. This gives you a chance to review cropping, retouch files, or simply upload your best hi-res originals.

To enable, go to My Sales > Price Plans and edit a price plan. Go to the Settings tab, then down to final section "7. Proof Delay". There you can choose to delay prints/products and/or digital downloads separately, and choose the max number of days to hold the order:

When an order is in Proof Delay, you may review and change the crop and conversion settings for each image, and replace images. When done, you may "Approve" the order to immediately send for printing. If you take no action, the order will automatically be sent for printing after the specified number of days. You may also "Extend" the time duration, by adding +3 days (you can do this multiple times).

Although only price plans configured for Proof Delay will have their orders enter Proof Delay automatically, all new print orders are automatically in a "cooling" period during their first hour, and can be placed into the full Proof Delay state if caught early (for example, if you receive an emailed order notification and immediately notice a problem). When you "Approve" an order to exit Proof Delay, it also enters this one-hour cooling period, and can be returned to Proof Delay if needed.

Notes:

  • You can bulk-edit Proof Delay settings on all plans at once.
  • In your price plan Settings, you choose whether buyers can convert images to black-and-white during checkout. However during Proof Delay, you (the photographer) can always use this option, if supported for the given file type.
  • Adjusting crop dimensions or changing black-and-white conversion affects only that one line-item in that one order. However, replacing the hi-res file will update the original master file, which affects the version seen by all visitors and used to fulfill all orders.
  • Sale items can have minimum requirements for byte size and pixel size. When a price plan uses Proof Delay, these requirements are waived while a buyer is shopping and checking out (we assume that low-res have been uploaded and will be replaced with hi-res later). The minimum requirements are highlighted on the Proof Delay review page to ensure that you upload sufficiently large replacement files before approving the order.
  • The invoice always shows thumbnails reflecting the original selections of the buyer (including crops and conversion). Thumbnails in the invoice itself are not updated when updates are made during Proof Delay.
  • When replacing low-res files with hi-res files on a big order, the easiest approach is to keep all filenames exactly the same, and then use the first multi-upload button to select all files in the collection from your local computer. Our system will filter out any files not needed for the given order (so won't even upload them) and will match each updated file with its original based on filename. (If this approach doesn't work because you're not using matching filenames, you can still upload individual replacement files, with any name, separately for each line-item.)
  • Proof Delay does not enable you to cancel an order change order quantities or change the product being ordered. This is because the finances all change with those options.
